Position Overview

We are seeking a highly organized Service Administrator to provide administrative and operational support to a field service organization within a manufacturing environment. This individual will act as a key liaison between customers, service engineers, and internal teams, ensuring efficient coordination of service activities, parts management, and administrative processes.

The ideal candidate has experience working in a fast-paced field service environment, possesses strong organizational and communication skills, and is comfortable managing multiple priorities simultaneously.

Key Responsibilities

  • Support Service Coordinators and Service Managers by communicating service schedules, updates, and changes to customers.
  • Serve as a point of contact for customers regarding service requests and field service activities.
  • Manage and maintain service work orders and related documentation.
  • Coordinate and process equipment installations and associated administrative activities.
  • Process warranty parts orders and support field service requirements.
  • Coordinate domestic and international shipping arrangements for service tooling and defective part returns.
  • Assist with machine logistics, invoicing, and vendor order processing.
  • Maintain accurate records and ensure timely completion of administrative tasks.
  • Perform additional duties as assigned.

Qualifications

  • Bachelor's degree preferred.
  • Minimum of 5 years of experience in a service administration, service coordination, or field service support environment.
  • Experience with parts ordering, warranty administration, and logistics coordination.
  • Proficiency with Microsoft Office applications, including Word, Excel, and PowerPoint.
  • Experience working with ERP systems such as SAP, Baan, or similar platforms.
  • Exceptional organizational skills and the ability to prioritize effectively in a fast-paced environment.
  • Strong communication and customer service skills.
  • Experience supporting manufacturing, industrial equipment, machinery, or field service organizations is highly preferred.

Work Environment

  • Primarily office-based with periodic exposure to manufacturing and industrial environments.
  • Occasional exposure to noise, heavy equipment, automated machinery, and other manufacturing-related conditions.

Physical Requirements

  • Frequent computer and telephone use while seated.
  • Repetitive hand, wrist, and arm movements.
  • Periodic standing, walking, bending, and stooping.
  • Occasional business travel and the ability to lift, push, and pull objects as needed
